Job Description

We are looking for a dedicated Administrative Assistant to join our team in Panama. The ideal candidate will handle a variety of administrative and clerical tasks, ensuring the efficient operation of the office. This is a full-time, on-site position that requires daily presence at our office.

Main Responsibilities

  • Answer and direct phone calls and emails.
  • Organize and schedule meetings and appointments.
  • Maintain contact lists and manage office supplies.
  • Produce and distribute correspondence memos, letters, faxes, and forms.
  • Assist in the preparation of regularly scheduled reports.
  • Develop and maintain a filing system.
  • Order office supplies and research new deals and suppliers.
  • Book travel arrangements and prepare expense reports.
  • Provide general support to visitors and act as the point of contact for internal and external clients.
  • Handle sensitive information in a confidential manner.
  • Participate in the planning and execution of company events and meetings.

Requirements

  • Proven experience as an administrative assistant, virtual assistant, or office admin assistant.
  • Knowledge of office management systems and procedures.
  • Working knowledge of office equipment, like printers and fax machines.
  • Proficiency in MS Office (MS Excel and MS PowerPoint, in particular).
  • Excellent time management skills and the ability to prioritize work.
  • Attention to detail and problem-solving skills.
  • Excellent written and verbal communication skills.
  • Strong organizational skills with the ability to multi-task.
  • High School degree; additional qualification as an Administrative assistant or Secretary will be a plus.

Desirable Skills

  • Previous experience in an administrative role in Panama.
  • Proficiency in both English and Spanish.
  • Experience with office management software like MS Office, Google Workspace, etc.
  • Basic bookkeeping skills.
  • Familiarity with travel and event coordination.
  • Knowledge of local business and administrative protocols.
